Privacy Policy
How LetLog collects, uses, shares and protects personal data.

1. Who We Are
LetLog operates LetLog and is the controller of personal data processed to provide the service. LetLog provides property management software for UK landlords, property managers, tenants and invited service users. For privacy questions, contact support@letlog.uk. 2. Personal Data We Collect
- Account and identity data: name, email address, role, profile details, authentication records and account preferences.
- Property and tenancy data: property addresses, rooms, tenancy details, rent records, compliance dates, documents, inventories, maintenance reports, messages and related notes.
- Payment and billing data: subscription plan, Stripe customer and subscription identifiers, invoice status and limited billing metadata. Card details are handled by Stripe and are not stored by LetLog.
- Technical and security data: IP address, device and browser information, session data, error logs, audit events and rate-limit/security signals.
- Support data: messages you send to support and information needed to respond to your request.
3. How We Use Personal Data

4. Sharing Personal Data
We do not sell personal data. We share it only where needed to run LetLog, including:
- with landlords, tenants and invited users where the product feature requires it;
- with hosting, database, storage, email, payment, push notification, error monitoring and security providers;
- with professional advisers, insurers, regulators or law enforcement where necessary; and
- with a successor organisation if LetLog is reorganised, sold or transferred.
Current service providers include Supabase, Vercel, Stripe, Resend, Sentry, Pushy and rate-limiting/security infrastructure providers.
5. International Transfers
Some providers may process data outside the UK or European Economic Area. Where that happens, we rely on appropriate safeguards such as adequacy regulations, standard contractual clauses or equivalent contractual protections.
6. Retention
We keep personal data only for as long as needed for the purposes above. Typical retention periods are:
- account data for the life of the account and a reasonable period after closure;
- property, tenancy, document and message records while they are needed by the account owner or connected users;
- billing, tax and accounting records for up to seven years where required; and
- security logs and diagnostic records for a limited period unless needed to investigate misuse or legal claims.
7. Your Rights
Under UK data protection law, you may have rights to access, correct, erase, restrict, object to processing of, and receive a portable copy of your personal data. Where we rely on consent, you can withdraw that consent at any time.

8. Security and Account Responsibility
We use technical and organisational measures designed to protect personal data, including access controls, encryption in transit, security headers and monitoring. You are responsible for keeping your login details secure and for ensuring the information you enter into LetLog is accurate and lawful to share.
